A Moneybird integration can exchange data between your accounts and a webshop or CRM. You can use an existing connector or build a connection through the API. Moneybird also offers an AI connection through MCP. These are different routes: decide what action you need, who may initiate it and which checks remain necessary before granting access.

Our guide to connecting software helps describe the data flow. For the wider process decision, read the AI automation guide.

Which integration do you need?

Start with a specific document. Should a webshop order produce an invoice, should an existing invoice transfer, or do you only need payment status in a customer portal? A connector supporting one action needn’t support the others.

Ask which version of your software is supported and what the input must contain. Include a return or correction in the demonstration. An ordinary sale often reveals less than an exception involving missing or previously processed data.

Intended result Route to investigate Check before use
Connect an established sales process Existing connector Document type, corrections and support
Run a fixed custom data flow API or workflow platform Access, field mapping and recovery
Ask questions about administration data AI connection with read access Information received by the external tool
Create records following an instruction AI connection with suitable write access Supported action and human review

These routes aren’t a ranking. A predictable transfer doesn’t automatically need a language model. A natural-language question may help someone investigate an overview. Assess the work you want performed.

How do the API and personal tokens work?

Moneybird’s authentication documentation describes OAuth and personal API tokens. Scopes can restrict access to parts of the administration. Treat a token as a secret, review its permissions and revoke access when the application is no longer needed.

Ask the developer to explain the access required for your process. Retrieving an overview differs from changing documents. Keep credentials outside the browser and shared project files. The maintainer should also know how to disconnect the application.

The API documentation states a standard limit of 150 requests per five minutes per IP address, with a lower limit of 50 for reporting endpoints. Exceeding it produces a 429 response. Different partner arrangements exist, so confirm the applicable limit. Documentation checked on 2026-09-24.

An import therefore needs to wait and resume. Document count doesn’t necessarily equal request count: one document may require customer information or other lookups. Have the supplier measure traffic using your actual process.

What is Moneybird’s AI connection?

Moneybird offers an AI connection through MCP. Access can be read-only or permit supported record creation and changes. Sending invoices and deleting records are outside this connection’s documented capabilities. It does connect an external AI tool; it isn’t merely built-in document recognition.

Begin a trial with a bounded question and minimal access. Agree what information the chosen tool may receive and who checks its answer. An overview is useful only after you’ve compared it with the underlying administration.

How do you prevent duplicate work with webhooks?

Moneybird webhooks notify an application about changes. Moneybird can retry a notification and provides an Idempotency-Key to identify the same message. Its documentation also describes signed requests. Require the receiver to check these rather than processing every message blindly.

Consider a hypothetical customer portal that needs to mark an invoice as paid. A notification arrives again after the first delivery was interrupted. The second message shouldn’t make the portal send another confirmation. Retain enough processing information to recognise the previous outcome.

Check what happens when the receiving application is temporarily offline too. A webhook is a signal, not a complete recovery plan. Agree how to establish later whether the portal still matches the accounts. Reconciliation remains necessary even when notifications appear technically successful.

How do you connect banking data?

Moneybird documents a bank connection through Ponto. Its information places external bank connections in the Groei and Compleet plans. Check current plan conditions and account support before planning setup; older guidance may name different plans or prices.

A bank transaction and a sales invoice are different records. A connection may deliver transactions, but the process still needs to establish what each amount relates to. Have your bookkeeper review settlements with deducted fees and refunds as well.

Choose a clear transition period. Check what was imported manually and what arrives automatically. Keep a list of missing or overlapping transactions so differences can be resolved without arbitrary re-imports.

When does custom development make sense?

Investigate custom work when available connectors don’t cover the necessary actions or exceptions. Examples include a customer portal with specific access rules or an internal approval step before document creation. First establish that the API supports the required functions.

Compare the work with changing your existing process. Better input validation or another connector setting might suffice. A new connection introduces maintenance too. Our no-code versus custom comparison helps assess the decision.

Have a trial demonstrate that information reaches the right administration and customer. Include an account that mustn’t see the information. A screen filter isn’t enough if the same user can access it through another route.

What does a Moneybird integration cost?

Request separate figures for connector subscriptions, configuration, development, hosting and support. Include Moneybird and external services. An AI tool’s subscription and any usage charges also belong in the budget.

The work depends on the result you need. Retrieving an existing invoice for an overview differs from creating invoices, processing corrections and returning information to several systems. Obtain quotes against the same examples and exceptions so you’re comparing equivalent work.

Use the software cost guide to separate initial and recurring work. During the trial, measure the checks that remain. An integration that saves data entry but creates many recovery alerts delivers a different result from the original estimate.

What should the handover contain?

The next maintainer needs to understand field mappings, access management and alerts requiring attention. Ask the supplier to demonstrate a failure and recovery. Establish who follows product changes and how modifications are tested before use.

Describe how the connection ends: revoking access, resolving work in progress and handing over documentation. Code for your TopDevs custom integration remains yours; Moneybird and other services retain their own terms. Read code ownership and vendor lock-in for the practical arrangements.

How do you actually get started?

Choose a data flow or a bounded question about your administration. Identify the required route and permissions. Test examples, compare the output with the source, and deliberately introduce repeated messages and interruptions.
