In short

You want automation built when the same manual work keeps coming back every week: retyping data between tools, hand-assembling reports, drafting the same document again and again. We build the automation around your existing process and cover six areas: process automation, workflow automation, system integrations, RPA, data and reporting automation, and document and email automation. We agree the price up front. AI goes in only where it provably saves hours.

What gets in the way

Almost every business runs on a handful of processes nobody enjoys and that come back every single week. Retyping data from one system into another. A report someone hand-assembles from six separate exports. A document re-typed from scratch after every meeting. It eats hours, it invites mistakes, and it doesn't scale as you grow. Automation flips that: the systems do the grunt work, your people do the work that actually matters. We build that automation around your existing process, not the other way around, and connect it to the tools you already use. At BBS Advocaten a full content pipeline runs from court ruling to published blog, worth 5+ hours a week and ten times as much content. At Simply every recruiter wins back 4 to 6 hours a week. At Planit roughly 40% of the daily consultancy work is automated. We are honest about when something isn't worth it: if an off-the-shelf tool will do, we say so. And we don't use AI as a sales pitch, only where it genuinely saves time. We think along with you: we listen first to what you want to achieve now and where you are heading, then choose the technology to match, for the most scalable and powerful result that is cost-efficient at the same time.

Repetitive manual work that returns every week

The same actions, week in week out: updating lists, running exports, moving statuses across, chasing emails. Work a script does in seconds costs your people hours. At BBS exactly that disappeared: a pipeline that used to take 5+ hours a week now runs on its own.

Fragmented systems and double entry

Your webshop knows one thing, your accounting another, your CRM something else again, and none of them talk to each other. So someone types the same data in three times. That burns time and creates differences between systems you have to untangle later.

Error-prone copy-pasting between tools

Cut-and-paste between spreadsheets and tools goes wrong eventually: a shifted column, a skipped row, a cell pasted in the wrong place. One slip propagates all the way into the report someone makes decisions on. Manual work you can't check is work you can't trust.

Reporting that takes days instead of being live

By the time the monthly report is ready, the numbers are already stale. Someone exports loose files, glues them together by hand, and sends out something that's already behind reality. At anonymous-ecom we solved that with one live source of truth pulled from 6+ connected sources.

RPA (Robotic Process Automation)

Not every system has a clean API. For the old packages, portals and screens you can only reach by hand, we let a software robot take over: logging in, clicking, moving data across, exactly the way a person would, but without errors and without breaks. RPA isn't a goal in itself, it's the last resort when connecting through an API isn't possible.

  • Robots for systems without an API — A robot replays the screen actions in a system that won't allow a connection: a legacy package, an older portal, a desktop tool. If a system does have an API or webhook, we'd rather connect there, because it's far more stable than screen work.
  • Scripts and bots inside a bigger flow — At Simply we think in scripts and bots that carry out tasks automatically, like the Salesforce detection script that checks on its own and the lead enrichment that runs by itself. We apply that same thinking to remove manual screen steps where no connection is available.

Data & reporting automation

Numbers that live everywhere and never arrive on time, that's the problem we solve here. We connect your sources, normalise the data to one definition, and let the reports build themselves. No more evenings gluing spreadsheets together: one live source of truth, with reports that come out review-ready.

  • Connecting sources into one KPI engine — At anonymous-ecom we connected 6+ sources, from webshop and marketplaces (Amazon, bol.com) to payment provider, ad platforms and finance, and normalised everything into one central KPI engine that calculates revenue, gross margin, AOV, churn and new customers live, with alerts and source-health monitoring.
  • Reports that build themselves — The reporting tool exports to PDF, Excel and PowerPoint, on a fixed schedule (weekly, monthly or on demand) or triggered automatically. A human-review step lets someone inspect the numbers and check sources before anything goes out, so the output is right and stays auditable.

Document & email automation

Drafting, summarising, searching and sending documents is often the most time-consuming manual work in a business, and the best suited to automation. We let content, reports and emails generate themselves from your data and sources, with AI where it provably saves time. This is the area where we've built the most.

  • Content and documents from your own data — At BBS Advocaten the pipeline turns a court ruling, via an AI summary, into a published blog and social post: 5+ hours a week saved, ten times as much content. At Peters Bouwadvies the advisory .docx and the invoice come out of one inspection in a single click; at Mastone the platform generates an online brochure automatically from the property data.
  • Archives made searchable with source attribution — At Planit Consulting we built a document pipeline over 18,429 documents (95,592 chunks): consultants find precedents in seconds instead of hours, with a citation back to the original document so they can always verify. That automated roughly 40% of the daily work.

Frequently asked questions

What does it cost to have automation built?

It depends on the scope, but you always get a fixed price agreed up front. No hourly billing that runs on forever. We map your process first, break it into pieces, then quote for what you genuinely need. A small flow is a matter of days to weeks; a chain across several systems costs more. Either way, you know where you stand from the start.

Do you build in n8n, Make, Zapier or custom?

The problem decides that, not our preference. For a lot of recurring flows a tool like n8n, Make or Zapier is the fastest and cheapest route. When it gets more complex, with custom logic, integrations or large volumes, we build custom, often in Python. For Simply we built the native Salesforce integration entirely in Apex because a no-code tool simply can't handle it. We pick whatever is most stable and most cost-effective for you in the long run.

How long until an automation goes live?

Smaller flows often go live within days to weeks; a chain across several systems takes longer. We work in short iterations, so you see a working version quickly instead of waiting months. The exact timeline depends on how many systems are involved and how clean the data is, and we agree that up front.

Does the automation stay mine, and who maintains it?

The automation runs on your own environment and the code and flows are yours, with documentation and a handover. No vendor lock-in: your own team or another party can carry on with it. If you want us to maintain it, we can, with clear agreements, but you are never tied to it.

What if a source or process changes?

We build for that up front. We put logging and monitoring underneath, so you can see when something stalls, for example when a source goes quiet or a format changes. At anonymous-ecom there's source-health monitoring that flags exactly that. If something changes structurally, we adjust the flow; often that's a small fix because we built the steps separately from one another.
